Job Description
• Advise on the registration and governance of the company, inclusive but not limited to starting up a company, provide advice on corporate restructuring, good corporate governance, and procedures of striking off or winding up a company.
• Familiar with business related laws and regulations and ensure institutional clients are compliant with the statutory requirements.
• Document meeting minutes and board resolutions.
• Ensure company details are up to date including notifies the SSM of such changes and update all related company documents, and certifies documents as true copies of the
originals (CTCs) for official matters, and safe custody of the documents.
• Record the Financial Year End (FYE) of institutional clients.
• Appoint auditor for institutional clients.
• Verify the identity of directors and shareholders and lodge the declaration of beneficial ownership.
• Lodge annual reports required by SSM such as annual return and financial statements with directors’ report.
• Application of licenses for institutional clients, eg. Wholesale, Retail Trade License (WRT),
expatriate passes/permits, business license, etc.

Required Skills
• A Chartered Accountant (registered under Malaysian Institute of Accountants (MIA) ), or Chartered Secretary (registered under Malaysian Institute of Chartered Secretaries and Administrators (MAICSA) ), or a Licensed Secretary (licensed by Company Commission of Malaysia to be company secretary), or a Certified Company Secretary (by Malaysian Association of Company Secretaries)
• 3 -5 years of related working experience as a Company Secretary.
• Good command of written and spoken English and Bahasa Malaysia.
• Computer literate
• Have knowledge in Companies Act, Bursa Malaysia Listing Requirements, CCM and other relevant regulatory acts, laws and guidelines.
• Meticulous, committed and able to work independently with minimum supervision, possess strong compliance competency and high degree of integrity.
• A good team player and good interpersonal skills.
• Dynamic person with personal initiative and leadership skills. Have strong verbal, written communication and presentation skills.

Job Description
(a) Search and list down Malaysia companies which can be possible/potential partner for
Japanese companies (especially buyers in the food and beverage industry).
(b) Search for specific Malaysia companies and identify contact persons in the companies.
(c) Assist in collecting statistical data / information from reliable sources, and market
needs by hearing from related player.
(d) Arrange for meeting appointments with governmental agencies and companies,
especially potential buyers in food and beverage industry. Connect with them (online /
offline) to introduce JETRO services/programs and encourage them to utilize/join.
(e) Assist and coordinate to hold business matchings between Malaysia companies and
Japanese companies and support promotional events.
(f) Follow up with potential buyers about the product sourcing request and outcomes of
business matchings and promotional events.
(g) Edit documents using PPT, Excel and Word. Documents will be written either in
Japanese or English.
(h) Miscellaneous affairs
